(“MOM”) in response to the Personal Information Protection and Electronic Documents Act, Canada and explains our treatment of personal information sent to us by our clients. We recommend that you read this Privacy Policy carefully and to check back periodically as this Policy may change from time to time. Please note that this Privacy Policy does not apply to the practices of companies or websites, which are not owned or controlled by us, including Canada Post and the United States Postal Service.
By sending in any form Personal Information (as hereinafter defined) to us, you warrant that you have the informed consent of the individuals in question, and that the information is accurate. We will not be in a position to verify either that consent, or the accuracy of the information you send to us.
Information Collected
In the course of conducting MOM business, we do not independently collect personal information ourselves. However, we may be sent the following information by our customers: “Personal Information” in the context of MOM is personally identifiable information, such as an individual’s name, address, birth date, gender, credit card information, social security number, charitable donation history and purchaser pattern history. Personal Information is sent to us when you choose to provide it to us when contracting for MOM’s services. In addition, if you choose to contact any of our customer service representatives, we may keep a record of that correspondence so that we may fully address the subject matter of your call.
Business contact information such as the name, title, business address, email address or telephone number of a business or professional person or an employee of an organization is not considered Personal Information. However, to the extent that we retain this information about our customers, we intend to protect it pursuant to this Policy.
Use of Personal Information
Personal Information may be used by us for the purposes of preparing mailings and other services you have requested from us.
Any mailing list or mailing labels that MOM receives will be kept strictly confidential and will only be used for the purpose of producing a mailing list or mailing labels as indicated by the customer supplying the list.
Disclosure of Personal Information
We do not sell or rent Personal Information we receive from our customers to anyone.
We will only disclose Personal Information to third parties, such as printers, where you have given us your consent to disclose Personal Information for a designated purpose connected with our services.
In the event that you terminate our services for any reason, or where we have offered one-time mailing services to you, we will destroy Personal Information no longer required by us unless you direct in writing that this information be retained by us. With respect to ongoing services to our clients, we will not destroy Personal Information until the first (1st) calendar year after the year in which our invoice was mailed to you, and when directed to do so by you.
Where an individual requests access to Personal Information, we will meet that request. We will endeavour to give our customers notice of any requests for Personal Information they have sent to us.
MOM may also disclose Personal Information if it has reasonable grounds to believe the information could be useful when investigating a contravention of a federal, provincial or foreign law or in order to protect or defend a legal interest.
Security
MOM takes technical, contractual, administrative, and physical security steps to protect Personal Information that is provided to us. We limit access to databanks containing Personal Information to those requiring access to organize mailing activities, currently about 12 employees. We instruct our employees with access to your Personal Information that it is to be used only in adherence with the principles set forth in this Privacy Policy and the laws applicable to each specific business. Misuse of Personal Information is considered grounds for dismissal.
No on-line off-site access to Personal Information is possible with our systems, and none is contemplated.
We will not be responsible for data that is forwarded to another service provider by us under instruction from you, or directly by you.
MOM has a secured facility in which all data and related information is stored. This facility is secured by a high-tech alarm system, which allows access to key personnel only, and records all entries and exits of the above.
We have designated one individual at MOM to co-ordinate compliance with this Policy. That person may be reached through our main switchboard.
Changes to this Policy
MOM may from time to time change its Privacy Policy as new services are added or old ones changed. Changes will be effective when notice of such change is posted on our site. Please check this Privacy Policy regularly for updates.
